Free where it can be, strict where it must be
The activity log is deliberately loose: date, plot and type of operation are required, the rest is optional. That is where you record what you did that day, from a pruning round to a fertiliser application. The crop protection register is a special kind of activity, with the fields from European implementing regulation 2023/564 added. Without those fields the record stays a draft.
What is coming your way
The obligation to record digitally has been postponed to 2027. That sounds far off, but the whole of 2027 has to be digitally available in January 2028. Anyone still working on paper in 2027 faces a year of retyping in early 2028.
Digital from 2027
The complete year 2027 has to be digitally available in January 2028. From 2030 shorter deadlines apply. Starting when you have to means working a year backwards; starting now means it is simply there.
Five years of retention
The retention period is five years, three for ornamentals. So nothing here is ever hard deleted: what you remove disappears from your view but stays in the file, with a version history beside it.
Contract work: thirty days
If you work for someone else, the operator records it, digitally within thirty days, and hands it to the client. For the food chain that deadline is seven days. Everything hangs off your account, so a team shares one register and the handover can come later without moving any data.
For landscapers and public bodies too
The obligation does not only touch agriculture and horticulture. Landscaping and public services fall under it just as much, and they often have many small sites rather than a few large plots. The plot model is built for that.
The weather at that moment
A record carries the weather of that moment with it. Useful for a later question about drift reduction, or about why a treatment was carried out at that time of day.
Export whenever you want
You can always take your records out, in a form you can hand over. A file you can only read inside one platform is not a file but a hostage.
Warn, never block
If you enter something that deviates from the register you get a notice with the expected and the entered value. You can then record why you are going ahead. That is not softness but the only workable choice: a grower always has more context than a database.
- Green means nothing was found, and then your screen stays quiet
- Amber means it could not be checked, for instance in a country we refer onward for
- Red means a concrete deviation, with both values beside it so you can see what it turns on
- The snapshot is frozen and never recalculated afterwards: at an inspection what counts is what you knew when you sprayed, not what the register says today
Built for a day out on the plot
One operation, several plots
The same spraying across six plots is recorded once, and you get a report per plot. That is how the work actually goes, and it saves filling in the same form five more times.
Again, straight from your timeline
Most operations resemble the last one. From your timeline you repeat one in a single movement and change only what is different. The controls are thumb-sized, because this rarely happens at a desk.
Split, merge, redraw
Plots change. You can split one or merge two without losing your history, and the geometry is validated while you draw and on import.
What is deliberately not in here
No live link with government systems, no disease pressure models, no stock administration, no certification audits and no machine integrations. That is not a list of things still to come, it is the boundary this was built inside. A recording system that also gives advice and also tracks your stock does all three of them halfway.
What does sit next to it: the check against the national product register, so you see while entering whether something is off. And the EPPO codes that make your crop and your target organism mean the same thing in every country.

What happens if I leave a mandatory field empty?
The record stays a draft and never reaches the status carried out. You lose nothing, and you see exactly which field is missing. So you can record what you know out on the plot and finish it later.
Can I correct a mistake?
Yes, and the old version stays beside the new one. That is on purpose: a file you can silently write back into is worth less at an inspection, not more.
